Service & Maintenance Administrative Support

Department: 15 - Dispatch
Location: Tempe, AZ

The Administrative Assistant is responsible for administrative support for the service and maintenance department. This position focuses on inputting work order requests, and communication with clients and the internal department.

Essential Job Functions

  • Coordinates and sends out executed contracts.
  • Inputs all work order requests from clients.
  • Communicate all update inquiries, internal & external, to the appropriate party
  • Answers incoming phone calls from the dispatch phone line
  • Office administration including filing, scanning, and data entry.
  • Establishes and fosters vendor relationships.
  • Assists with verifying vendor qualifications and insurance requirements.
  • Other duties as assigned.

Education, Experience and Skills

  • High school diploma or equivalent.
  • Self-starter and able to work in a fast-paced, team-oriented environment.
  • Demonstrates strong verbal and written communication skills.
  • Demonstrates strong data entry skills with accuracy.
  • Ability to multi-task, have strong attention to detail, and time management skills to ensure all established deadlines are achieved.
  • Strong organization and time management skills.
  • Proficient with computers and familiar with Microsoft Software Suite.
  • Able to identify a need, remove the barriers, and have the know-how to make things happen.
  • Values diversity of ideas, opinions, and people. Has good common sense and applied logic.
  • Must possess or be able to obtain an appropriate state driver's license prior to employment, along with a clean driving record and reliable transportation.
