Project Coordinator

Department: 14 - Administration
Location: Orange, CA

The Project Coordinator supports project management as they manage the execution of the construction projects. The role coordinates activities and processes associated with the project. The Project Coordinator is responsible for overseeing day-to-day tasks and supporting everyday administrative duties.

Essential Job Functions

  1. Approves invoices, verifies payment of job expenses, and verifies proper cost codes.
  2. Assists with billings for customer invoicing and subcontractor payment.
  3. Assists with construction projects working closely with the Project Team from inception to closeout.
  4. Assists with the coordination of acquiring required permits and deposits.
  5. Attends Client meetings and prepares meeting minutes.
  6. Communicates with subcontractors and vendors for subcontracts, proposals, Requests for Information (“RFI’s”), change orders, billings, submittals, long lead items, and materials procurement.
  7. Coordinates airline travel, hotel reservations, and vehicle rentals.
  8. Coordinates duplication and distribution of construction plans.
  9. Coordinating with project team; compiles project information to create and issue weekly client project reports.
  10. Establishes and fosters positive long-term relationships with clients and subcontractors.
  11. Input PM Schedule project information every Monday into Timberline and any updates during the week as needed.
  12. Issue Purchase Orders to the project team.
  13. Maintain a timecard with accurate project information daily.
  14. Maintain project logs – RFI’s, submittals, rental, labor, and change order. Maintain subcontractor list.
  15. Maintains and updates project documents.
  16. Maintains project drawings and tracks plan revisions.
  17. Order materials and various project-related items as requested by the Project Manager/Superintendent.
  18. Orders temporary facilities, including storage containers, dumpsters, restrooms, equipment, and laborers.
  19. Requests and assembles project close-out documents from subcontractors. Requests as-builts from project superintendent.
  20. Requests/creates project Job Books.
  21. Responsible for the processing and distributing of project documents, including plan revisions, day-to-day correspondence, billings, drafting subcontracts, taking meeting minutes, coordinating closeout documents.
  22. Responsible for working safely adhering to all aspects of our Health, Safety, and Environmental Program both for self-protection and for protecting co-workers, sub-contractors, the public, and the client by supporting all Company safety efforts.
  23. Upon project completion, archives project documents.
  24. Other duties as assigned.

Education, Experience, and Skills

  1. 1 – 3 years experience with relevant experience or equivalent.
  2. High school diploma or equivalent.
  3. Demonstrates strong verbal and written communication skills.
  4. Ability to become a Notary.
  5. Ability to multi-task, have strong attention to detail, organizational skills, and time management skills to ensure all established deadlines are achieved.
  6. Ability to foster relationships with customers, owners, subcontractors, and vendors.
  7. Demonstrates strong data entry skills with accuracy.
  8. Self-starter and able to work in a fast-paced, team-oriented environment.
  9. Has passion, energy, persistence, positive attitude, and enthusiasm.
  10. Proficient with computers and familiar with Microsoft Software Suite.
  11. Able to identify a need, remove the barriers, and know-how to make things happen.
  12. Values diversity of ideas, opinions, and people. Has good common sense and applied logic.
  13. Must possess or obtain an appropriate state driver’s license before employment, along with a clean driving record and reliable transportation.
