Administrative Assistant

Department: 14 - Administration
Location: Orange, CA

The Administrative Assistant is responsible for administrative support for departments including construction and service, and maintenance. This position focuses on reconciling invoices and accurate documentation before payout. This position is responsible for verifying vendor qualifications and fostering relationships with vendor accounts.

Cirks Construction Inc. (CCI), dba KDC Construction, offers a competitive salary/hourly range of $21.00 to $26.00 per hour – while considering the candidate’s experience and a comprehensive benefits package for full-time employees:

Essential Job Functions:

  • Confirm insurance compliance for all subcontractors; request insurance for vendors with expired insurance; maintain insurance documents
  • Verify contractor license status
  • Respond to and resolve administrative inquiries and questions
  • Track preliminary notices from all subcontractors and material suppliers; send out preliminary notices as requested
  • Facilitate safety questionnaire reviews
  • Maintain diversity vendors and submit monthly report
  • Responsible for working safely, both for self-protection and the protection of others, by supporting all company safety efforts
  • Performs other duties as assigned

Education, Experience, and Skills

  • Minimum 3-5 years of experience with high volume, fast-paced environment and working knowledge of computerized systems; CMiC, as well as experience in the construction industry preferred
  • High School diploma or equivalent
  • Comprehension knowledge of insurance terminology
  • Proficiency in MS Office applications, including Word and Excel
  • Accurate and efficient data entry skills
  • General knowledge of insurance, preliminary notices, and lien releases
  • Excellent organizational and communication skills
  • Ability to coordinate and perform multiple tasks simultaneously
  • Self-starter able to work within a fast-paced, team-oriented environment
  • Strong written and oral communications
  • Ability to identify a need, remove barriers, and have the know-how to make things happen.
  • Values diversity of ideas, opinions, and people. Has good common sense and applied logic.
  • Must possess or be able to obtain an appropriate state driver’s license before employment, along with a clean driving record and reliable transportation.
